JOB SUMMARY:
This position supports procurement and warehouse operations by coordinating the purchase of inventoried supplies needed for the operation, construction, and maintenance of CCWA facilities. The role assists with requisitions, inventory management, vendor coordination, and financial reconciliation to ensure materials are acquired accurately, efficiently, and in compliance with established policies and procedures.
ESSENTIAL JOB FUNCTIONS:
- Prepares quotes and enters requisitions into a financial management enterprise system for inventoried supplies necessary for the general operation, construction, and maintenance of CCWA facilities and submits any necessary documentation to vendors for purchasing and new vendor setup.
- Assists Warehouse management with the development of bid specifications.
- Ensures an adequate supply of standard stock items are maintained in the warehouse.
- Obtains and compiles necessary data to support management in the preparation of annual bids.
- Coordinates special handling and delivery requirements for supplies needed to support pipe repair projects.
- Acts as a liaison between CCWA departments and vendors as it relates to inventoried supplies.
- Analyzes purchase requirements relative to stock levels; evaluates usage trends; recommends orders based on best practice inventory standards; researches substitutions for obsolete items; and makes related recommendations.
- Reviews and verifies purchase orders and receiving documentation for accuracy.
- Reviews cost variances with Accounts Payable; follows up with vendors to ensure timely delivery of materials.
- Assists the Procurement Compliance Administrator in reviewing and reconciling corporate credit card and purchasing card transactions.
- Generates and reviews corporate credit card and purchasing card reports for submission to Accounts Payable.
- Serves as a liaison between the Warehouse and Asset Management functions by ensuring asset-related equipment is accurately coded in the financial management system.
- Assists in routing the parts list in the financial management enterprise system approval process for capital jobs.
- Provides support and back up for warehouse team as needed.
- Processes a variety of documentation associated with Department/Division operation, within designated timeframes and per established procedures; receives and reviews various documentation; reviews, completes, processes, forwards, or retains as appropriate; prepares or completes various forms, reports, correspondence, and other documentation; compiles data for further processing or for use in preparation of Department reports; and maintains computerized and/or hardcopy records.

MINIMUM REQUIREMENTS TO PERFORM WORK:
- High School Diploma or GED; two (2) years of related work experience in procurement and inventory control; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
- Must be able to demonstrate proficiency in performance of the essential functions and learn, comprehend, and apply all CCWA or departmental policies, practices, and procedures necessary to function effectively in the position.

PHYSICAL DEMANDS:
- This position classifies the physical exertion requirements as sedentary work involving lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally, and other sedentary criteria are met.
- Tasks some pushing and/or pulling of objects and materials of light weight; tasks may also involve extended periods of time at a keyboard, or Some tasks require the ability to perceive and discriminate colors or shades of colors, sounds, and visual cues or signals. Some tasks require the ability to communicate orally.
